Job Description

We are seeking a professional and polished Front Desk Receptionist to join our estate planning law firm. As the first point of contact for our highly-valued clients and visitors, you will play a pivotal role in creating a positive and welcoming atmosphere in our firm. Your exceptional communication skills, attention to detail, and ability to multitask will contribute to the smooth operation of our front desk area.

Responsibilities:

Greeting and Welcoming Visitors:

  • Welcome clients and guests with a warm and professional demeanor.
  • Provide a first-class experience by offering refreshments, notifying appropriate staff members of visitor arrivals, and ensuring their comfort while waiting.

Answering and Directing Calls:

  • Handle incoming calls promptly and professionally, directing them to the appropriate parties within the firm.
  • Provide accurate and timely information to callers, addressing their inquiries or routing them to the appropriate resources.

Scheduling and Managing Appointments:

  • Coordinate and manage appointment schedules for attorneys and staff, ensuring efficient use of their time.
  • Schedule client meetings, consultations, and conference room bookings, while accommodating specific attorney preferences and client needs.

Administrative Support:

  • Provide general administrative assistance, including data entry, document preparation, and filing.
  • Support attorneys and legal staff with administrative tasks such as typing, photocopying, and scanning documents. Order and pick up food for lunches and client meetings and handle other errands.

Maintaining Front Desk and Reception Area:

  • Keep the front desk area and reception area neat, clean, and well-organized at all times.
  • Manage the inventory of office supplies, including ordering and restocking as needed.

Client Communication:

  • Communicate professionally and empathetically with clients, demonstrating exceptional customer service skills.
  • Handle client inquiries, requests, and concerns with utmost confidentiality, discretion, and sensitivity.

Assisting with Special Projects:

  • Collaborate with attorneys and staff on various projects, as needed from time to time.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist or in a customer-facing role, preferably in a professional services environment.
  • Excellent verbal and written communication skills, with a friendly and professional phone manner.
  • Strong organizational skills and the ability to multitask effectively.
  • Proficiency in using office equipment, including phone systems, copiers, and printers.
  • Demonstrated proficiency in using computer software, including MS Office Suite (Word, Excel, Outlook).
  • Exceptional interpersonal skills and the ability to build positive relationships with clients and colleagues.
  • Impeccable discretion and the ability to handle sensitive and confidential information.
  • Attention to detail and a commitment to maintaining a professional appearance and demeanor.
